Job Summary
Job Description
The overarching aim of this role is to assist the Development team to build positive relationships with the Three Choirs Festival donor community through the provision of high-quality hospitality events and receptions.
The delivery of this role will require you to fulfil the tasks outlined below, but this list is not intended to be exhaustive.
Job Requirements
- Very strong verbal communication for interacting with donors, colleagues, and the Head of Sales and Development.
- Customer-focused, with an outgoing, hands-on, pro-active and energetic, service-oriented mindset.
- Ability to think and resolve issues quickly and effectively under pressure.
- Skilled organiser able to manage multiple tasks.
- Ability to collaborate effectively with different people: venue managers, speakers, colleagues, and Board.
- Willingness to adapt to changing needs and varying work hours in the sometimes fast-paced environment of the Festival.
- Attention to detail.
- Meticulous in cleanliness, hygiene, and tidiness in terms of event venues and equipment.
Job Responsibilities
- Monitoring invitation responses and making notes of any attendees with dietary requirements.
- Sourcing and producing name labels for attendees to be given out on the door.
- Confirming final details for events, including liaising with venues and caterers regarding final numbers and dietary requirements.
- Working with the Festival production team to ensure the correct number of volunteers for events.
- Creating function sheets for the staff team, volunteers, and venue staff, so that everyone involved is aware of their commitment and how things will run.
- Co-ordinating all equipment needed for events including glasses and food trays and making sure that it is kept clean and hygienic (there is a dishwasher in the Festival office).
- Purchasing snacks, soft drinks, and ice as appropriate (Head of Sales and Development has a business card).
- Setting up venues, co-ordinating the delivery of canap s if necessary.
