Live Events Division
Each year, the Live Events Division at The Fire Station organizes and delivers over 250 live performances and events. These events span a wide range of genres, including jazz, folk, rock, indie, electronic, classical, country, pop, comedy, dance, and theatre. Collectively, these performances attract audiences of over 100,000 people annually.
Programme & Events Assistant Responsibilities
As the Programme & Events Assistant, you will be responsible for liaising with artists, agents, promoters, corporate clients, and various internal teams. Your primary objective will be to ensure the highest level of service is provided to both clients and customers.
Purpose of the Role
The key purpose of the Programme & Events Assistant is to support the programming of all live events. This support encompasses tasks such as contract and financial administration, assisting with YesPlan diary management, coordinating and producing events, and handling data entry for show builds. You will work closely with the Venue Director, Programme & Events Manager, and collaborate with teams in Finance, Technical, Operations, and Marketing.

This position requires you to work independently while interacting with a diverse range of internal colleagues and external clients.
Role Suitability and Flexibility
This is a part-time role ideally suited for an independent, experienced administrator who demonstrates initiative. Some home working and flexible hours may be arranged as part of this position.

Job Requirements

The ideal candidate has strong admin and organisational skills, can prioritise multiple deadlines, and maintains high attention to detail-especially with financial data entry. They communicate clearly in writing and verbally, work confidently and proactively both independently and as part of a team, and have solid IT skills with willingness to learn new systems (e.g., YesPlan, ticketing software). A flexible approach is essential. Desirable attributes include experience in live events, music or cultural programming; understanding of legal/contract admin; familiarity with CRM/ticketing/event management systems (e.g., Spektrix/YesPlan); an interest in music and the arts; and the ability to undertake show-rounds and support production/logistics coordination.

Job Responsibilities

Supports the Live Events team by managing end-to-end contract admin and key deadlines; raising POs and processing invoices; assisting with show settlements, reporting and budget updates. Maintains the programme diary in YesPlan (scheduling, updating event info, reviewing pencilled dates, spotting gaps). Coordinates with Marketing/Ticketing for on-sale activity and accurate event set-up. Provides light-touch event coordination (artist/client logistics, liaison, venue show-rounds, escalating issues) plus general admin, records maintenance, meeting support and supplier liaison, adapting to changing priorities.
