Job Summary

The AFD for Operations is a senior leadership role responsible for the operational planning, technical delivery and logistical execution of MTFF and ensures that the artistic vision of MTFF is delivered professionally, safely and efficiently across venues, systems and live events.

Job Description

As MTFF moves beyond its initial three-year cycle, its focus turns to establishing long-term financial stability, sustainability, and growth. The role will be initially voluntary for 6 months, but our aim is to provide a small salary/honorarium for each AFD role in 2026, if funds allow. Longer term we aim for AFD roles to be salaried part time roles.

Core Areas of Responsibility
1. Festival Scheduling and Delivery Planning - Lead the operational build of the festival schedule. This role ensures the programme runs smoothly in real-world conditions.
. Venue and Technical Liaison - Act as the primary operational liaison with venues. This role protects the production quality of the festival.
3. Film Deliverables and Technical Compliance - Oversee film material delivery and compliance processes. This area reduces last-minute operational risk.
4. VR and Immersive Production Oversight - Lead operational planning for immersive and VR programming. This ensures immersive programming feels professional, not experimental.
5. Risk Management and Compliance - Support the Festival Director in ensuring safe and compliant delivery. This role ensures growth does not outpace safety.
6. Production Budget Oversight (Operational Elements Only) - Work alongside the Festival Director to manage operational costs. The role supports financial sustainability through operational discipline.
7. Team Coordination (Operational Areas) - Ensure clarity of roles and responsibility during delivery. This reduces confusion as the organisation scales.

The AFD, Operations also:
Produces a post-festival Operational Report for the Festival Director and the MTFF board outlining lessons learned and areas for improvement
Supports operational planning for satellite events such as Reel Futures where required
Maintains documentation and systems for future scalability
Declares and manages conflicts of interest.

Job Requirements

We are seeking a detail-driven film festival or live events operations professional with prior experience in scheduling, venue liaison, technical delivery or production management. Applicants should demonstrate strong operational planning skills, including live event schedules, run sheets, technical checks, turnaround timings and venue coordination.
Experience working with projection formats, file delivery specifications, subtitles, immersive/VR setups or screening logistics within a festival or cinema environment is highly desirable. You should be highly organised, calm under pressure, solutions-focused and confident managing multiple moving parts across venues and teams.
Experience in risk management, health and safety, accessibility logistics and supplier coordination is essential. A strong understanding of how to translate creative programming into smooth real-world delivery is critical.

Job Responsibilities

The Assistant Festival Director for Operations is responsible for delivering the festival safely, smoothly and professionally.
This role owns:
- Venue relationships and contracts
- Screening schedules and room management
- Technical specifications, file delivery and playback
- Sound, projection, VR and immersive set-ups
- Staffing plans and live-event logistics
- Risk management, access and health and safety.

This role ensures that the festival happens as programmed, on time, at quality and without crisis. This role is about how the festival runs.
