Job Summary

We are seeking a passionate art enthusiast who is a customer-oriented individual to join our gallery team based in Mayfair. The Gallery Assistant role is an integral part of the team and supports all departments to ensure the smooth operations of the gallery.

Job Description

Greeting and engagement with visitors to the gallery: Working at the gallery front desk to welcome and engage visitors with enthusiasm, providing information about exhibitions, featured artists, and upcoming events. Answering the mainline gallery phone, responding to external email inquiries, and providing excellent customer service and experience.
Sales support; Track and update sales, reserves, and client contacts in the gallery database; manage and allocate inquiries from the shared sales inbox; prepare exhibition PDF previews and bespoke sales offers; support exhibition sales administration, including maintaining sales trackers, budgets, and recording final prices and discounts; upload artworks to online platforms; and schedule, organize, and document sales meetings.
Administrative Support: Assisting with the staff and artist travel requirements and making bookings. Entry and upkeep of the gallery calendars, minuting meetings, and providing the gallery departments with various admin support tasks.
Gallery Location Duties: Stationery and gallery supply management. Arranging couriers, FedEx, and gallery post. Quality Assurance procedures at the gallery locations to ensure that the gallery and back-of-house areas are always clean and tidy and organised. Event support during gallery private views and gallery events.
Gallery Photography: Supporting the Operations and Communications team with, re-sizing images, and filing the images on internal gallery Drive and Databases.

Job Requirements

Skills & Experience:
Minimum BA in an art-related subject
Experience of working in the commercial gallery or auction house sector
Knowledge and passion for contemporary art, with the ability to engage visitors in meaningful conversations about the gallery, artworks, and the artists.
Strong customer service orientation
Knowledge and experience in gallery artwork and client database management software and systems - experience with Artlogic preferable
Adobe, photoshop
Highly organised with attention to detail
Good communication and writing skills
Good interpersonal skills and a team player
Multi-lingual is an advantage

Job Responsibilities

Welcoming and engaging gallery visitors at the front desk, providing information on exhibitions, artists, and events while delivering excellent customer service via in-person, phone, and email communication. Supporting sales by maintaining databases, tracking sales and client contacts, managing inbox inquiries, preparing exhibition previews and offers, updating online platforms, and assisting with sales administration, budgets, and meeting coordination. Providing administrative support including travel bookings, calendar management, and meeting notes. Handling daily gallery operations such as supplies, post and courier arrangements, and ensuring clean, organized spaces. Assisting with events and private views. Supporting photography and communications by resizing and organizing images within internal systems.
