Job Summary

We’re looking for an experienced administrator to help us manage the financial reporting and cashflow obligations that come with the grant — someone who knows their way around Arts Council systems and understands the rigour that capital projects at this scale demand.

Job Description

This is a part-time, ongoing contract running alongside our capital project, which is scheduled for completion by January 2028. The expected workload is approximately 1-3 days per month, though this may flex at key reporting milestones.

Job Requirements

We need someone who genuinely knows this territory. Non-negotiables are:

Demonstrable experience managing Arts Council England grant reporting, including use of Grantium
Experience on capital projects with a total value of £250,000 or above
Solid understanding of grant compliance, drawdown processes, and funder reporting obligations
Strong financial administration skills - cashflows, reconciliations, budgets
Ability to work independently and manage your own workload around agreed deadlines

We'd also love to see:

Experience in the arts, culture or creative sector, ideally with independent venues or small organisations
Familiarity with CIC or charity financial governance
Experience working alongside architects or project managers on capital builds
An eye for detail and a proactive communication style - we'd rather hear about a problem early than late.

Job Responsibilities

Core responsibilities will include:

Managing Arts Council grant reporting obligations, including narrative and financial returns via Grantium
Preparing and maintaining project cashflow forecasts, updated regularly throughout the project lifecycle
Reconciling grant claims against expenditure and ensuring draw-down schedules are on track
Liaising with our project team, architect/PM consultant, and Arts Council relationship manager as needed
Flagging any financial risks or compliance issues early, so we're never caught out
Maintaining clear and auditable financial records for the project
