Job Summary

Vestry House Museum is seeking an experienced consultant to produce a digitisation plan for the collections and create a brief for a digitisation supplier tender. The consultant with work with the Museum Curator to assess current holdings, research potential platforms and produce a costed plan.

Job Description

As part of Vestry House Museum's NLHF-funded development stage, the Digitisation Consultant will:
1) Assess, scope and test a plan for digitisation for Museum collections that will feed into the NLHF Activity Plan and application for the Delivery stage;
2) Assess current holdings and existing catalogues for museum;
3) Consult with in house Museum and Archives teams and external stakeholders to provide a digitisation plan, to include:
a) upgrade/replacement of current museum collections database;
b) provision of public-facing digital resource for the museum;
c) themed digital 'collections/ displays that can be accessed by visitors remotely;
d) initial assessment of Archive/Local Studies Library holdings and catalogue systems and scope for future digitisation;
e) costs and resource requirement for implementation and maintenance;
4) Research museum/archive digital platforms and provide recommendations and analysis;
5) Working with the Heritage Assistant, design and deliver a small digitisation pilot using a specific and indicative part of the museum collection which will inform how we manage digitisation during the Delivery Phase;
6) Prepare documents to form the tender for digitisation provider;
7) Liaise with the in-house Museum and Archive teams as well as other consultants;
8) Consult with key stakeholders and co-curation partners

Please note that Vestry House Museum is not able to accept proposals that engage with AI under any form linked to collections digitisation and access strategy, to champion and maintain sector best practice surrounding collections copyright and ethics.

The appointment will be within the development phase of the project, from August to September 2026.

Bidders are requested to submit proposals using the link below. They must include a full cost breakdown up to the total budget of £9,000.

Job Requirements

- Detailed knowledge of museum digital cataloguing systems and their interfaces with public digital platforms;
- Experience of scoping and commissioining museum digitisation projects and all process required;
- Experience of handling museum collections and preparing objects for digitisation;
- Knowledge of digitisation equipment and software;
- Experience of working in small-scale and/or local authority run museums;
- Knowledge of social history and photography collections;
- Knowledge of National Lottery Heritage Fund digital requirements and working on NLHF-funded programmes and/or funding applications;
- Ability to work to deadlines;
- Attention to detail;
- Experience of training and supervising staff/volunteers in digitisation.
