Job Summary

The Finance & Purchasing Associate assists with all aspects of accounting and the procurement and coordination of inventory across the business. The Associate reports directly to the Senior Finance & Operations Manager.

Job Description

Purchasing & Inventory
-Review weekly inventory and sales reports for all shows and special projects.
-Raise and submit purchase orders in line with company purchasing procedures, monitoring progress through to delivery.
-Support product sourcing activities, ensuring client requirements, quality standards and target margins are achieved.
-Work alongside the Finance Manager to build and maintain strong relationships with suppliers while expanding the company's supplier network to achieve the best quality, value and service.
-Assist with product range planning based on sales performance and market trends.
-Monitor product quality and work with suppliers to resolve any quality issues quickly and cost-effectively.
-Manage supplier production schedules and escalate where necessary to ensure client deadlines are met.
-Maintain regular communication with Operations Managers regarding product updates, changes and special projects, acting as a point of contact for clients where required.
-Submit weekly orders for specific ongoing projects in coordinations with the Operations Department.

Accounting/Finance
-Raise invoices for wholesale and promotional orders.
-Maintain accurate customer records.
-Monitor the accounts receivable ledger and follow up to ensure customer payments are received in accordance with agreed payment terms.
-Assist with monthly and annual audits as needed including making site visits to theatres or experience locations to do physical counts of inventory.

Reporting & Analysis
-Produce weekly and monthly sales reports, including royalty reporting.
-Maintain tracking spreadsheets for donations, consignments and other inventory movements.
-Update the producer and venue analysis reports weekly.
-Prepare the internal weekly sales report.
-Produce additional reports and analysis as required.
-While the above highlights the a range of tasks, additional duties may be assigned at any time with appropriate notice.

Job Requirements

Desirable:
-1-2 years' experience in purchasing, inventory planning and logistics.
-A bachelor's degree or relevant qualification is desirable; equivalent work experience will also be considered.
-Excellent written and verbal communication skills.
-Strong organisational skills with excellent attention to detail.
-A collaborative team player with a positive and proactive approach.
-A confident problem-solver who can think critically while considering the wider needs of the business.
-Proficient in Microsoft Office and Google Workspace.
-Experience with Oracle NetSuite and Shopify would be advantageous.
