Job Summary

The Gallery Assistant supports the gallery’s day-to-day, technical, and registration functions, ensuring artworks are accurately documented, stored, prepared, and cared for across all gallery and offsite activities.

Job Description

Gallery and Exhibition Support - Assist with installation and deinstallation of exhibitions, artwork handling, space setup, events, and daily gallery operations. Ensure the gallery is presented to a high standard.

Technician Responsibilities - Prepare gallery spaces and maintain lighting, tools, and equipment. Ensure daily presentation and condition standards during exhibitions.

Artwork Registration - Manage the gallery database on Artlogic, ensuring artworks are catalogued on arrival and records maintained to a high standard. Ensure accurate labelling, tracking, and data entry, escalating valuations or insurance matters to senior staff. Photograph new works and complete condition checks and reporting.

Art Handling, Storage & Care - Safely handle, pack, and move artworks while maintaining organised, accessible storage. Keep location records current, conduct routine checks, and manage day-to-day care.

Shipping Coordination & Scheduling - Provide shipment updates and maintain efficient, cost-aware scheduling for high-value and international logistics. Coordinate deliveries, obtain crating and shipping quotes, and create correct export and import paperwork.

Collaboration & Communication - Coordinate with the Head of Operations, Gallery Managers, Curator, and Directors, ensuring smooth workflow and accurate record-keeping.

Logistics - Ensure safe, timely delivery and installation of sold artworks. Liaise with auction houses and administer acquisitions.

Loans & Consignments - Create consignment paperwork and ensure loan and consignment agreements, shipping documentation, and database records are filed and up to date.

Job Requirements

Demonstrable excellent administrative, organisational and communication skills.

Previous gallery experience and experience with art databases and cataloguing is preferred.

Deep interest and knowledge in photography + contemporary arts.

Ability to work independently and collaboratively in a creative environment.

Additional foreign language skills are a plus.

Working knowledge in Word, Excel, Cloud drives, Indesign and Adobe Suite.
