Job Description
This role is fully embedded within the London Registrar team and is primarily focused on international and post-sale logistics. The position seeks efficient, cost-effective solutions for shipping and gallery logistics, this includes gallery artworks, sold artworks, as well as works destined for international exhibitions and art fairs. The role also oversees exhibition and artwork photography, working closely with both the local London team and the Berlin gallery team, particularly the images and press team. General gallery support will be needed on the occasion of openings and events held at the gallery.
The hours of work are Monday to Friday 09.45 - 18.15 at the London gallery.
Job Requirements
One year fine art shipping experience minimum at a commercial gallery or fine art shipper (this is an essential requirement).
Proficient understanding of UK and international customs formalities (this is an essential requirement).
Excellent knowledge of contemporary art and gallery operations.
Familiarity with inventory databases (e.g. Artlogic, ArtBase, or comparable).
Strong administrative and organisational skills.
Proficiency in Microsoft Office (Word, Excel) and basic image-editing software.
High attention to detail and accuracy.
Excellent communication and teamwork skills.
Ability to work independently and manage multiple projects simultaneously.
Professional demeanour and reliability under pressure.
Willingness to travel as required.
Fluent in English (written and spoken); additional languages are an advantage.
Job Responsibilities
Assist with international sales dispersal, exhibition, and art fair logistics, including estimates, transport lists, shipping arrangements, and customs documentation.
Under supervision, coordinate international shipments from start to finish, preparing transport lists, pro-forma invoices with correct instructions, and clearance paperwork.
Work with the Head of Technical and Head Registrar to order appropriate crates and materials for international shipments based on the nature of objects.
Support Artist Liaisons to liaise with artists' studios, institutions, partner galleries, and external service providers to ensure smooth project execution.
Plan and oversee exhibition photography in collaboration with the technician team and any other relevant parties.
Liaise with framers, conservators and Artist Liaisons regarding artwork care and collection needs.
Accurate record keeping on the gallery database.
Support the London team at gallery openings and events.
