Job Summary

We're looking for an experienced Administrator to join the Museum's Information Systems (IS) department on a fixed-term basis.

Job Description

The IS department is responsible for the technology, systems and digital services that support the Museum's work, helping colleagues across the organisation deliver exceptional experiences for visitors, care for collections, and operate efficiently behind the scenes.

This is a varied and rewarding position at the heart of the department, providing administrative support across finance, reporting, communications and operational activities. Working closely with the Head of Information Services and teams across the department, you will help ensure the smooth running of a busy and fast-paced service.

Job Requirements

You will be a highly organised administrator with excellent attention to detail and a strong customer-focused approach.

We are looking for someone who can demonstrate:
Experience in an administrative, office support or coordination role with some experience of financial administration.
Strong written communication skills, including producing basic business documents such as meeting notes or procedural documentation.
Good IT skills, including Microsoft Word, Excel, email and other office systems.
Excellent organisational and time management skills.
Accuracy and attention to detail when handling routine and financial processes.
The ability to work effectively with colleagues across a wide range of teams and disciplines.
Experience of supplier liaison, document management or supporting health and safety activities would be advantageous but is not essential.

Job Responsibilities

As IS Administrator, you will play a key role in supporting the day-to-day operations of the department. Your responsibilities will include:

Providing financial administration support, including processing orders and invoices, managing purchases, handling expenses and travel claims, and supporting supplier enquiries.
Supporting departmental reporting activities, including KPI reporting, timesheets, incident reporting and the creation of visual progress updates.
Managing general office administration, including stock control, document management, communications and information coordination.
Supporting departmental governance through meeting coordination, minute taking and administration for the Digital and Technology Board.
Acting as a departmental health and safety representative and supporting wider engagement activities.
Helping organise team events, social activities and departmental meetings.
