House of Oz seeks a Company & Production Coordinator to manage admin, artist logistics, and financial tracking for incoming productions. You will need 2-4 years' theatre admin experience and strong logistical skills. Hybrid role with offices in West Hampstead.

Job Description

About House of Oz:
House of Oz is a philanthropic arts production platform platforming Australian creativity on the world's stages. We fund production, marketing, tech, travel, and accommodation to help artists reach global audiences, primarily via the Edinburgh Festival, but also in global arts markets.

The Role:
Based in West Hampstead (hybrid), you will be the operational engine of the organisation, working closely with the Executive and Creative Directors by managing administration for all incoming productions. Standard hours are 9am-6pm (Mon-Fri), but evening/weekend work is required during peak seasons, especially in August when you will be based in Edinburgh.

Key Responsibilities:
Logistics: Oversee booking flights/hotels, track visa deadlines, and handle artists directly to ensure smooth day-to-day running.
Finance: Track expenses, process invoices, reconcile accounts, and submit VAT/GST paperwork to support our new charitable structures in the future.
Marketing & Admin: Act as conduit for our marketing agency, plan emails, coordinate calendars/agreements, and gather insurance/risk assessments.
Producing: Line produce designated productions.

Essential Requirements:
2-4 years of administrative experience in a theatre/dance environment.
A fierce champion of Australian talent comfortable holding firm boundaries.
Proven experience in international travel and budget management.
Systems proficiency (Google Workspace) and strong problem-solving skills.
A self-starter maintaining discretion with sensitive VIP/artist data.

Desirable Skills:
Working knowledge of live arts producing, ticketing, and contracts.
Visa/sponsorship knowledge and basic arts marketing skills.
Experience using Mailchimp, Canva, Trello, and Xero.
Eager to grow your own producing or arts admin career.

Professionalism: High discretion with sensitive data, strong problem-solving skills, and the ability to hit competing deadlines.

Desirable: Knowledge of live arts producing, visas, arts marketing, and tools like Mailchimp, Canva, Trello, and Xero.

Job Responsibilities

Logistics: Oversee booking flights, trains, and hotels for visiting artists, and manage the accommodation budget. Track strict visa deadlines, distribute welcome packs, and handle day-to-day logistics directly with overseas artists.
Financial Administration: Manually enter bills, track expenses, process invoices and purchase orders, reconcile accounts, and submit VAT and GST paperwork.
Marketing Support: Act as the internal conduit for our marketing agency, upload assets to venue portals, perform basic design tasks like resizing photos, and send email communications.
Company Administration: Coordinate calendars, write agendas, send out artist/supplier agreements for signature, and gather insurance certificates and risk assessments. Manage general email inboxes and organise digital files.
Project Direction: Line produce designated productions as delegated by the Executive Director.
