Job Description
We are looking for an organised, proactive and reliable Administrator to support our Music Programme team. Working closely with the Director and Deputy Director of Music Programme and Head of Community, you will provide administrative support across Performance, Artist Development, Children & Young People, Later Life and Creative Health.
This is a varied role helping to keep the team organised and activity running smoothly. Responsibilities include diary management, coordinating and minuting meetings, arranging travel and tickets, and communicating with internal and external stakeholders. You'll administer DBS checks, gather information and statistics for funding and board reports, produce the monthly Music Programme report, and support the scheduling and recruitment of Workshop Assistants.
You'll also coordinate room bookings, support Creative Health projects and oversee general Hoffmann office administration, including post, stationery and refreshments, alongside providing wider practical and administrative support when required.
We're looking for someone with previous administrative experience, including experience gained through volunteering. You'll have excellent organisational and communication skills, strong attention to detail and the ability to manage competing priorities and deadlines. You'll be confident using Microsoft 365, including Teams and SharePoint, able to learn new systems quickly, solve problems and work independently using your initiative. The ability to work collaboratively and handle confidential information with integrity is essential.
Previous experience in music or the arts is not required, and training will be provided.
The role is 0.6 FTE / 21 hours per week, usually around three days, but we are open to flexible arrangements. If you need to work around the school run, other work or personal commitments, please tell us in your application what working pattern would work best for you.

A high degree of integrity and ability to handle confidential information appropriately
Job Responsibilities
Provide administrative support to the Director, Deputy Director and Head of Community, including diary management, meeting coordination, agendas and minutes.
Arrange travel, tickets and communicate with internal and external stakeholders.

Gather information, statistics and contributions for funding, board and Senior Leadership Team reports.
Support the scheduling and recruitment of Workshop Assistants.
Coordinate room bookings, identify clashes and work with colleagues to find solutions.
Oversee day-to-day Hoffmann office administration, including post, stationery, refreshments and orders.
Provide administrative and practical support for Creative Health projects, including preparing spaces, catering and on-the-day activity.
Provide flexible administrative and hands-on support across the wider Music & Heritage team as required.
