Job Summary
Job Description
Managing the Co-Founder's diary, scheduling meetings and protecting time for preparation, travel and other commitments; resolving clashes and keeping plans up to date.
Ensuring the Co-Founder is prepared for meetings, including gathering papers, carrying out research, preparing briefings and following up agreed actions.
Coordinating UK and international business travel, including transport, accommodation and clear itineraries, and responding to changes.
Helping manage correspondence and calls, drafting emails and letters, proofreading documents and bringing urgent matters to the Co-Founder's attention.
Working with colleagues to organise press nights, launches and investor events, including invitations, RSVPs, guest arrangements and VIP hospitality.
Managing VIP ticket requests across productions, including house seats, press seats and complimentary tickets, and looking after visitors and guests.
Organising internal and external meetings, preparing rooms and technical arrangements, taking notes and circulating actions as required.
Coordinating the day-to-day running of the office, liaising with IT and other suppliers, maintaining office systems and supplies, and managing petty cash.
Processing expenses and invoices, maintaining accurate records and arranging approvals and signatures as instructed.
Keeping contacts and digital files organised, preparing scripts and other materials, and supporting special projects, workshops and reports on new shows as required.
Job Requirements
An organised, confident and approachable person who enjoys providing practical support across both professional and personal life.
Relevant experience in a PA, executive support or similarly demanding administrative role.
Excellent written and verbal communication, with the confidence to deal professionally with colleagues, creatives, investors, suppliers and personal contacts.
Absolute discretion, sound judgement and a diplomatic approach to confidential business and private matters.
A proactive approach: able to spot what needs doing, take ownership and complete tasks without repeated reminders.
The ability to prioritise competing demands, adapt to changing plans and remain calm under pressure.
Excellent attention to detail, strong Microsoft Office skills and confidence maintaining diaries, records and filing systems.
A collaborative approach and an interest in theatre and the arts.
