Job Summary

We’re looking for a Event Coordinator & Personal Assistant at Spirit Now London

Job Description

Closing date : 15/11/2026 at midnight

70% : Spirit Now London | Events, Projects & Operations

Take ownership of the planning, coordination and execution of events and projects from concept to completion
Coordinate relationships with artists, galleries, institutions, venues, suppliers, clients and other stakeholders
Manage multiple projects simultaneously, ensuring timelines, priorities and deliverables are effectively managed
Act as a key point of contact for external partners and stakeholders, representing Spirit Now London professionally
Support the development and growth of Spirit Now's London activities and network
Manage social media channels, including content creation, scheduling, engagement and audience development
Coordinate event logistics and suppliers, ensuring projects are delivered smoothly and to a high standard
Proactively identify and resolve operational issues and take initiative within areas of responsibility

30% : Personal & Executive Assistance

Provide personal and executive support to the founder, including:
Travel arrangements and itinerary coordination
Administrative organisation and follow-up
Research and preparation of information
Calendar and appointment management
Support with day-to-day priorities and ad hoc requests

Job Requirements

Experience in event planning, project coordination, art and cultural management is essential : minimum 3 years
Experience in social media management, including content creation, scheduling and engagement : essential
Demonstrated ability to manage projects independently and take ownership of outcomesStrong organisational, multitasking and problem-solving skills
Excellent communication and stakeholder-management abilities
Fluency in French; additional European languages will be considered a plus
MA in Art Business, Art Administration, Cultural Management or a related field
Ability to work independently in a dynamic, international and entrepreneurial environment.
