Job Description

The International Council and Patrons Administrator plays a key role in supporting the delivery of two of Tate's important individual giving programmes. Working across the International Council and Patrons teams, you will help ensure excellent supporter care and the smooth day to day administration of both schemes. This will include managing the administration of new Patrons and renewals, processing and tracking income, maintaining accurate supporter records, coordinating correspondence and communications, and supporting stewardship activity including events and committee meetings.

You will work closely with colleagues across the Patrons Team, Development Operations, Finance and Engagement & Events, as well as supporting donor and prospect research for the International Council.

You will be an excellent communicator with strong administrative and organisational skills and a high level of attention to detail. Comfortable working with data, correspondence and numbers, you will be confident using CRM systems and Microsoft Office and able to manage competing priorities and deadlines.

Your proactive and collaborative approach will enable you to work effectively across teams, use your initiative and provide a consistently high standard of support to Tate's supporters.

The Tate Development office was founded in 1990 to raise funds from the private sector for revenue and capital projects at Tate. It has expanded over the years to meet growing gallery needs and is now one of the most successful arts fundraising teams in the UK. The majority of personnel are based in London, with staff in St Ives and Liverpool, and an affiliated US charity, the Tate Americas Foundation, based in New York.

The Individual Giving & Collection Development team is responsible for fundraising from Tate's International Council, Patrons and Collection Committees as well as for the management of projects centred around acquisitions for Tate's collection.

Job Requirements

Field enquiries from current and prospective members of the International Council and Patrons schemes, over the phone and by e-mail, forwarding them to the relevant team member in a timely and appropriate manner.

Manage the administration of new joiners to the Patrons schemes, including: processing payments, logging income accurately in liaison with the Development Operations team, coordinating welcome packs with supporter pass cards and drafting welcome correspondence.

Manage the renewal administration for existing Patrons, including: pulling data monthly on forthcoming renewals; coordinating appropriate correspondence for various payment methods; supporting the Patron Managers with personalising letter templates; liaising with the Development Operations team to ensure accurate reporting; processing payments and logging income; and drafting acknowledgement correspondence.

Job Responsibilities

Proven relevant experience in a range of administrative duties within a busy office environment.

Excellent administrative and organisational skills, with the ability to prioritise and multi-task to meet deadlines

Excellent attention to detail when dealing with data input, correspondence and numbers.

Excellent computer literacy - including knowledge of Windows based applications such as Word, Excel, Outlook, and PowerPoint.

Experience of using Customer Relationship Management (CRM) databases to record and manage supporter data and the ability to ensure best use of CRM systems.

Excellent verbal communication and interpersonal skills with the ability to deal effectively and confidently at all levels, internally across departments and with external contacts.

Good written skills with the ability to draft letters, minutes, reports and presentation material.

The ability to set up and maintain administrative systems and procedures (paper-based and electronic).
